🎶 Cancellation & Attendance Policy

Effective: 1^st September 2025

Thank you for being part of DMD Music School. To ensure a smooth and respectful experience for all students and staff, please review our updated cancellation, attendance, and communication policies below:

📅 Holidays

• We do not follow the standard school calendar. Any holidays/closures relating to DMD Music School will be notified in advance.
• Due to demand taking a break over the summer does not guarantee that your lesson slot will be held for your return.

📌 General Cancellations

• Lessons must be cancelled at least 48 hours in advance or the lesson will be charged in full.
• To cancel a lesson please email your tutor. Emails addresses are at the bottom of the policy. You can also log into my music staff and cancel (logins are sent through email for “my music staff”)
• Frequent cancellations may result in the loss of your regular lesson slot due to high demand.

🤒 Illness

• Please notify us as early as possible if a student is unwell.
• Illness-related cancellations are reviewed at our discretion; short-notice cancellations may still be charged.
• If a teacher has avaibility they will endeavour to find an alternative time slot due to illness before your next scheduled lesson
• Repeated cancellations due to illness may result in losing your regular lesson place.

🚫 No-Shows & Lateness

• Late arrivals will still end at the scheduled time.
• Young students must be collected promptly — tutors cannot provide supervision outside of lesson times.
• Please plan for traffic and always escort young students to and from the door.

🚨 Emergencies

• Emergencies will be handled on a case-by-case basis.
• Please communicate as early as possible via email.

❌ Discontinuing Lessons

• A minimum of 4 weeks’ notice must be given to discontinue lessons. Please send this via email to your tutor.
• Prepaid lessons are non-refundable if the specified notice is not given.

🌧️ Weather & Travel Disruptions

• In cases of severe weather or travel disruption, an online lesson will be offered if possible.
• If online is not possible, a short recorded video with practice material may be provided.

👨‍🏫 Tutor Cancellations

• If a tutor cancels, we will try to reschedule or carry over the missed lesson fee.

🎓 Exams

• Online exams will be conducted during your regularly scheduled lesson time.
• A fee applies for each exam — please contact your tutor for current rates. Exams fess are payable by the student.
• We can arrange both in-person and online exams depending on student needs.

📲 Communication

• All communication must be made via email. Tutors are often teaching and may not be available by phone. We aim to respond as promptly as possible during opening hours.
• Parents/guardians wishing to discuss any issues with a tutor should do so at the end of a lesson or request a meeting via email.

💳 Payment and pricing

• Lesson prices are reviewed annually and may be subject to change.
• Lesson fees must be prepaid before the lesson. Late payments may result in losing your slot.

🎒 Student Expectations

• Parents are expected to remain with younger students during lessons.
• Students must bring all necessary books and equipment to their lessons.
• Regular practice is expected to ensure steady progress.
• If students are repeatedly disruptive, this may result in the student losing their slot.

To help us tailor our teaching approach and ensure you/your child receives the best possible experience, we kindly ask that you inform us of any learning difficulties, medical conditions, or other needs that may affect your child’s participation in music lessons or classes.
